JOB DESCRIPTIONSEXECUTIVE COMMITTEE
Chairman
Co-ordinate all the activities of the rugby section Sets agenda and chairs meetings of the Executive committee, Rugby Committee and any general meetings Makes decisions in consultation with other officers Plays an executive role as the principal officer throughout the year. Must plan ahead and be prepared to delegate. Represent the Rugby Section on the Club General Committee Can act as point of reference for external agencies in conjunction with the Secretary Ensures all Club sub committees meet regularly
Secretary
Principal administration officer- the main link between members executive committees and outside agencies. First point of contact for an outsider. Writes agendas and minutes in club meetings. Deals with correspondence addressed to the Club and raises relevant matters at committee meetings Co-ordinates and chairs the Disciplinary committee Responds to requests for information from RFU and HRFU Attends Executive and Rugby Committee meetings
Treasurer
Administers club accounts, banking monies collected and paying bills received Prepare and set budgets and control costs for the Senior Section and Academy Co-ordinates the collection of match fees by team captains Prepares income and expenditure accounts for Rugby Committee Monitors the Youth Rugby accounts Prepares final integrated accounts for the whole Rugby Section and passes to Trojans Club Treasurer for audit Attends Executive, Rugby and Youth Committee meetings Liaises with membership Secretary and Club on payment of membership fee subsidies
Captain of Rugby
Captains 1xv Assists in team selection for all senior men’s teams Takes responsibility for the collection of match fees and passing them to the treasurer Notes the availability of players for forthcoming matches Provides regular reports of matches for the website
Chairman of Youth Committee
Responsible for all elements of Youth Section and co-ordinates the roles of the Junior and Mini Playing Committees Chairs Youth Section sub committee Encourages and supports coaches to develop youth players link between parents and club
Executive Floor Member
Attend Executive and Rugby Committees in an uncommitted capacity
RUGBY COMMITTEE
Fixture Secretary
Arranges fixtures for non-league weeks for senior men’s sides
Match Secretary
Confirms fixtures and match arrangements with opposition clubs for all men’s fixtures Confirms referees and match arrangements for all men’s fixtures Seeks replacement fixtures for cancelled matches
Team Secretary
Keeps a list of all players, their positions, availability and contact details Writes up team sheets for the Club notice boards Co-ordinates late changes to teams
Membership Secretary
Holds and continually updates data and details of all members Holds and updates RFU Registration details Assists with recruitment and publicity Ensures membership fees are collected and passed to the Club Membership Officer Liaises with Treasurer on payment of membership fee subsidies
Head of Coaching
Recruits, encourages, develops and organises training for all club coaches Liaises with CB and R.FU on coaching courses Acts as point of contact for all coaching queries Coaches the 1st XV
Team Captains
Captains the appropriate team Assists in team selection for all senior men’s teams Takes responsibility for the collection of match fees and passing them to the treasurer Notes the availability of players for forthcoming matches Provides regular reports of matches for the website
Team Managers
Confirms the availability of players Ensures kit (balls, shirts, first aid etc) is available Takes and collects kit to/from launderette
Press/Publicity Officer
To ensure that the Club has support from the local community and that news of matches and results is published frequently.
Social Secretary
Organises all senior club social events Prepares calendar and promotes events Liaises with other Trojans Club Sections on joint events Liaises with Youth Section to avoid clashes and to encourage Associate Membership attendance at Club events
Equipment Officer
Maintains a record of all Club equipment, its whereabouts and status Recommends to relevant committee replacement or renewal
Women's Liaison Officer
Attends rugby committee to ensure the needs of the women’s team is met Ensuring that as many girls as possible have the opportunity to play rugby in a safe and fun environment in which they learn. Promote and encourage Women's and Girls' Rugby.
YOUTH COMMITTEE
Youth Secretary
Deals with any correspondence relevant to the Youth Section Maintains contact numbers of Committee members, coaches and managers Arranges meetings of the Youth Committee Takes minutes of Youth Committee and distributes them to the members of the Youth Committee and the Section Chairman. Collects, collates and passes on to HRFU all registration forms
Youth Treasurer
Administers Youth Section accounts, banking monies collected and paying bills received Prepare and set budgets and control costs for the Youth Section Prepares income and expenditure accounts for the Youth Committee Co-ordinates the collection of Club subscriptions through the team managers and passes subscriptions due to the Club Co-ordinates Wavell Wakefield Youth Trust claims Prepares final accounts to pass to Rugby Section Treasurer for incorporation in the Trojan Club accounts Attends Youth Committee meetings Match Secretary
Confirms fixtures and match arrangements with opposition clubs for all youth fixtures Confirms referees and match arrangements for all youth fixtures Liaises with Club Secretary on pitch conditions Liaises with Club on catering requirements Seeks replacement fixtures for cancelled matches Attends Youth Committee meetings
Junior Playing Committee Chairman
Co-ordinates the organisation of the playing of Junior rugby at the Club Ensures that all teams have suitably qualified coaches and managers Attends Youth Committee meetings
Mini Playing Committee Chairman
Co-ordinates the organisation of the playing of Mini rugby at the Club Ensures that all teams have suitably qualified coaches and managers Attends Youth Committee meetings
Social Secretary
Co-ordinates social activity within the Youth section
Publicity & Recruitment Officer
Ensure that the Club has support from the local community and that news of matches and results is published frequently. Liaises with local schools Provides relevant information for the Club web-site
JUNIOR PLAYING COMMITTEE

Junior Managers

Kit Sales Organiser
Organise the purchase and sale of a variety of rugby clothing designed to promote the Club
Webmaster
Develops website with links to others Ensures that all information on the website is accurate and up to date. Ensures that the website promotes and advertises events and matches in the Club.
Child Protection Officer
To ensure that children and young players are provided with the highest possible standard of care by their coaches and volunteers. To implement a child/young player protection policy. To raise awareness and understanding that abuse does happen in sport and to establish communication and reporting procedures.
