ANNUAL GENERAL MEETING

 

MINUTES

 

From meeting held on Monday 27 September 2004

 

1.                   Welcome, introduction and receive apologies

 

Attendance:  David Greenhalgh, Peter Reid, Kirsty Ward, Neil Joice, Shaun Magill, John McCormack, Lisa Davies, Jenny Stenning, Jane Marti,  Dave Pointer, Mike Long, Alistair Race, Sue Keens, Marc Cussack, Amanda Burney, Geoff Woollan, Rob Vowles, Barbara Sellers, Nigel Sellers

2.                  Approve the Minutes of the Youth AGM held on Tuesday 6 May 2003

 

Peter Reid asked for the minutes to be amended Item 5 - to note that the accounting year is September to August and not as stated in the minutes.

 

3.                  Consider matters arising from the previous AGM Minutes

4.                  Report from Nigel Sellers, Chairman Trojans Youth Rugby

 

Chairman’s report attached, which is self explanatory

 

5.                  To receive and adopt the financial report from the Treasurer – Jenny Stenning

 

Jenny presented her last report as Treasurer – financial statement attached. 

 

6.                  Presentation by David Greenhalgh – Rugby Club Chairman

 

Presentation by David Greenhalgh covering performance at all levels and age groups within the rugby section.

 

7.                  Present the Dan Surtees Award  (sponsored by Nat. West Bank)

 

Presented this year with great pleasure and gratitude to Geoff Woollan for many years of support to Trojans.

 

8.                  To elect the Officers of Trojans Youth Section

 

The following members were elected and seconded:

 

-         Chairman Youth – NIGEL SELLERS

-         Secretary – BARBARA SELLERS

-         Treasurer – LISA DAVIES

-         Match Secretary – NIGEL SELLERS

-         Kit Manager – CLARE FEATHERSTONE

-         Ex Officio (Senior Rugby) - PETER REID

-         Chairman Mini Section – JOHN McCORMACK

-         Fixture Secretary Mini section – AMANDA BURNEY

-         Youth Development Officer – NIGEL SELLERS

-         RFU Registration Officer – BARBARA SELLERS

 

9.                  Questions and any issues raised

 

Nigel Sellers discussed the benefits of having a central data base, which includes e mail addresses for parents/members/players.  It was confirmed this would be held on the Youth Secretary and would specifically only be used for Trojans Newsletters and general information, probably two – three times a season.  Data Protection was discussed as a parent had raised a concern regarding holding central data base. As the club never issue details to a third party this is not an issue.

 

Amanda raised the concern that within a different section to rugby a coach had left the club and taken all an age groups contact details and proceed to contact everyone within the age group in an endeavour to get them to move clubs, it was confirmed that should this situation arise with the rugby section the Rugby Executive Committee should be informed and they would decide on the appropriate course of action to be taken on behalf of the rugby section.

 

Shaun Magill advised that the Senior Section were finding it very beneficial to pay their membership forms via the credit card facilities available at the Trojans bar.  David Greenhalgh was to speak with Wendy Greenhalgh – Club Treasurer regarding the administration of this facility being available throughout the Youth Section as well and to advise.

 

Peter Reid – advised that the Members Home Page which includes the Trojans Manual which is currently being input onto the  web site is available by clicking on the word ‘O’ of Trojans at the top of the home page, more information to follow in due course.

 

Marc Cusack asked if Pete Surtees could be approached to run more in-house coach the coaches courses.  Action NS

 

Mid week coaching and protection of the grass.  Nigel and David Greenhalgh confirmed that in order to maintain and protect the grass throughout the season there should be no mid week coaching from November through to February except the week leading up to a cup game.  This situation will be reviewed dependant upon weather through the winter months.

 

10.               Any other business

  

           Dinner Dance – Club dinner dance is being held on Saturday 23rd October at Novotel, Southampton

 

 

           Harlequins – Mini section would like to attend skills circuit and match day at Harlequins if an appropriate date can be booked.  Action Barbara/John McCormack

 

 

           Trojans Mini Festival – Sunday 17 October 2004 – John McCormack and mini section coaches and Managers to finalise all arrangements
